We created an easy-to-use and efficient sales system for a food and beverage company to manage their orders and deliveries when Metro Manila was placed under quarantine due to COVID-19.
CHALLENGE
Our client, who produces and distributes bread and other food and beverage products, had to close their physical stores due to the Enhanced Community Quarantine. They shifted to having deliveries done online through village Viber groups, but it was difficult to manage orders because the orders were all collected and tallied manually. The Viber groups were always cluttered with a mix of orders and questions on each of their customers’ bills and delivery dates.
PROCESS
We studied the different Viber groups of our client and saw that it was difficult to keep track of orders because they would get lost in new messages. Also, many members wanted to know their total bills immediately and have their invoices sent to them individually instead of in the Viber group.
SOLUTION
We created a sales management system which included:
1. a Google form for automating order collection;
2. a back-end system which read the Google form and calculated the bills per customer, along with senior citizen or PWD discounts if any; and
3. a texting module which could send text messages to their customers with their order summary, total bill, and delivery date.
IMPACT
With this new system, our client saved a lot of time and effort in collecting orders thorough Viber, and their process was less prone to errors.
