We created a system for a government office that managed the application process for transportation franchise candidates.
CHALLENGE
There was no standardized system for these franchise applications. Our client could not determine to franchise candidates when they would have to return to their office for hearings or payments, and the different teams within our client’s office were blind to the data and process of the other teams. Franchise candidates did not have a clear idea of when to return to our client’s office or how much they were due.
PROCESS
We observed their current operations and recommended an organized application process for them to use. We then created a system which could be used by all teams in their office that always gave employees visibility on the status of each applicant.
SOLUTION
We created a process management system which:
1. streamlined the application process;
2. defined timelines on when the applicants needed to accomplish certain requirements or return to our client’s office;
3. automatically calculated bills for the applicants, which also kept track of previous unpaid penalties and the like.
IMPACT
With this new system, our client was able to save time from manually assessing each application and their internal communication and documentation became more efficient as well. Franchise candidates were also given more visibility on their application status and they knew exactly when they needed to submit their requirements and pay.
